At our travel agency, your experience and wellbeing are our highest priorities. We believe in creating clear expectations so that everyone can enjoy their adventure with peace of mind.
These guidelines are set out to ensure mutual understanding between us and our travellers. By making a booking, all clients confirm their acceptance of these terms.
1. Booking Confirmation & Agreement
When you proceed with a booking, you confirm that you have read and agreed to the following terms.
If you are booking on behalf of others, you accept responsibility for sharing these terms and ensuring the rest of your group also agrees to them.
A booking becomes official once your deposit is received and confirmed. Only individuals aged 18 and above may make a booking directly with us.
2. Fitness to Travel & Health Disclosure
It is your responsibility to determine if the trip and its activities are suitable for your physical and medical condition. We recommend speaking with your doctor before booking, especially for trips involving physical activity or travel to remote locations.
We may request a medical form to be completed and signed by a licensed physician prior to final payment. Full disclosure of any health conditions is required to ensure both your safety and the safety of the group.
In cases where health concerns present a risk, we reserve the right to decline your participation at any point, at your own cost.
Pregnant travellers must inform us at the time of booking. If you are 28 weeks or more pregnant at the time of return travel, you will be required to provide a doctor’s certificate stating you are fit to fly.
Please note: healthcare standards and availability vary greatly depending on the country visited. We cannot guarantee access to certain medical services abroad.
3. Travel Insurance is Essential
All travellers must have a valid travel insurance policy in place that covers emergency medical treatment, evacuation, and repatriation. This must be valid from the first to the last day of your travel (including travel days).
We highly recommend extending your policy to include coverage for cancellation, delays, lost baggage, and other unexpected disruptions.
Insurance is not included in the cost of your trip. It is your responsibility to ensure you are adequately covered. Please consult with your insurer to confirm the policy covers the specific countries and activities involved in your trip.
If you are taking part in more adventurous or higher-risk activities, please make sure your insurance includes helicopter rescue, repatriation, and other emergency services.
4. Dietary Requests & Personal Needs
If you have any food allergies, dietary restrictions, or other personal requirements, please let us know at the time of booking.
We will do our best to accommodate special requests, but please be aware that some destinations may have limited options, and we cannot make guarantees in every case.
5. Pricing Policy & Currency Adjustments
Our trip prices may change based on availability and market conditions. The final price at the time of booking may differ from earlier promotional material or brochures. Once your booking is confirmed and the deposit has been paid, the price is locked in except in cases where there are significant changes due to:
Any such changes will be communicated transparently, and only where necessary.
6. Tour Updates & Information Accuracy
All trip itineraries, departure dates, and pricing are subject to change. The most accurate and up-to-date details will be confirmed at the time of booking.
It is your responsibility to stay informed on the final itinerary, departure times, meeting points, and other logistical details leading up to your departure.
7. Personal Details & Documentation
To ensure smooth travel arrangements, you agree to provide complete and correct personal information for yourself and/or any other participants you're booking for.
This includes but is not limited to full names as per travel documents, passport numbers, visa information, and any health declarations when required.
Failure to provide accurate information may result in additional fees or the inability to participate in parts of the trip. Any resulting costs from incorrect or missing information will be your responsibility.
8. Flights & Independent Travel Arrangements
If flights are included in your travel package, the Tour Operator acts solely as an agent for the airline. All air travel is subject to the airline’s own terms and conditions, which may limit liability.
Please review your flight itinerary as soon as it is issued. Flight schedules may be subject to change, stopovers, or delays due to permit and licensing requirements beyond our control.
Important: If you choose to book your own flights separately from the tour package, you assume full responsibility for any delays or missed connections. We strongly recommend purchasing travel insurance to cover such risks. The Tour Operator is not liable for any losses or disruptions resulting from independently arranged flights.
9. Transportation Terms
All ground, sea, or air transport during your trip is provided by third-party carriers, and their own terms of carriage apply. These may be governed by local laws or international conventions, which can limit or exclude liability in the case of delays, cancellations, or service issues.
We are not liable for changes or disruptions caused by these carriers but will assist where possible.
10. Cancellation by You (the Traveller)
All cancellations must be submitted in writing and will take effect from the date received by the Tour Operator. The cancellation fees are as follows:
Failure to make payment within 14 days of the due date will be treated as a cancellation. Payments made up to that point will be forfeited. A €250 rebooking fee will apply if you wish to rejoin the trip, subject to availability.
11. Force Majeure / Pandemic Occurrences
In the event of any pandemic or global health crisis declared by the World Health Organization (WHO), all travellers acknowledge the potential for unforeseen disruptions, including but not limited to:
• Border closures
• Visa or documentation delays
• Flight or transport cancellations
• Quarantine measures or travel restrictions
In such situations, any payments made will be retained as travel credit for future use. We strongly encourage all travellers to act responsibly, monitor their health, and adhere to all official health and safety guidelines before and during travel.
If you test positive for a contagious illness or are required to isolate prior to departure, the standard cancellation policy will apply. Official medical documentation may be required.
12. Booking Changes & Restrictions
Once your booking is confirmed and your deposit has been received, no changes can be made to personal details, dates, or the selected trip.
This is because suppliers, especially airlines and accommodation providers, require early confirmation of passenger details — often prior to your final payment — and changes may not be permitted.
If you are unable to proceed with your booking, refer to our Cancellation by the Traveller section for details on refund and credit policies.
13. Substituting a Traveller
If you can no longer travel but would like to transfer your booking to another eligible individual, this is possible under the following conditions:
Transfers are only allowed if time permits and are subject to approval from third-party providers (e.g., airlines).
14. Final Balance & Payment Terms
The full balance for your trip must be paid 90 days prior to departure, unless otherwise agreed in writing.
Failure to make this payment may result in:
As a reminder, cancellations within 119 days of departure result in a 100% loss of the total trip cost.
15. Tour Operator Cancellation & Minimum Numbers
While we strive to honour all scheduled departures, the Tour Operator reserves the right to cancel a trip for reasons including but not limited to:
In the event of a cancellation initiated by the Tour Operator:
We aim to provide at least 14 days’ notice before departure in the case of a Tour being cancelled due to minimum participant numbers not being met.
Please note: Refunds are not applicable for consequential costs such as independently booked flights, visas, or accommodation not arranged through the Tour Operator.
16. Modifications to Itinerary
Occasionally, it may be necessary to make adjustments to the trip itinerary before or during your tour. Examples include:
Wherever possible, you will be informed of changes promptly. These modifications do not entitle the traveller to a refund or compensation. You acknowledge that travel inherently involves flexibility and that unexpected adjustments may occur.
17. Travel Preparedness & Budgeting
You are responsible for ensuring that you have adequate financial resources during your trip to cover incidentals, changes to travel plans, or personal expenses arising from emergencies or delays. The Tour Operator is not liable for costs incurred due to your failure to plan or budget appropriately.
18. Passports, Visas & Travel Documentation
It is your sole responsibility to ensure that you are in possession of all required documentation, including but not limited to:
The Tour Operator does not guarantee visa issuance and accepts no liability for errors or omissions in visa or entry requirements. Any costs or penalties resulting from denied entry or failure to provide valid documentation are your responsibility.
19. LIMITATION OF LIABILITY
The Tour Operator and their respective employees, affiliates, officers, directors, successors, representatives, and assigns shall not be held liable for any injury, illness, death, loss (including loss of enjoyment or possessions), damage, expense, cost or other sum or claim of any description whatsoever which:
In cases where loss, injury, illness or death is directly caused by the Tour Operator’s or Third Party Suppliers’ negligence, liability is limited by applicable international conventions.
20. FLEXIBILITY, CHANGES & UNUSED SERVICES
Travel inherently involves unpredictability. You acknowledge that routes, schedules, accommodations, transport methods, and activities may be altered before or during the trip without prior notice due to circumstances beyond the Tour Operator’s control (e.g., weather, strikes, illness, political events, force majeure).
No refunds, credits, or reimbursements will be issued for missed or unused services due to reasons not attributable to the Tour Operator, including removal from the Tour due to your conduct or breach of these Terms.
21. PERSONAL RESPONSIBILITY & RISK ACKNOWLEDGEMENT
You acknowledge and accept that participation in travel and adventure-based activities involves inherent risks to health, safety, and well-being. By travelling with the Tour Operator, you agree to accept these risks and release the Tour Operator from liability arising from injury, death, property loss or other harm resulting from such risks.
You are solely responsible for determining your fitness to participate. You must comply with all local laws and the Tour Operator’s directions. Non-compliance or disruptive behaviour may result in immediate removal from the Tour at your own cost.
22. THIRD-PARTY PROVIDERS & SERVICES
The Tour Operator arranges services via independent Third Party Suppliers (e.g., transport, accommodation, excursions). While reasonable care is taken in selecting them, the Tour Operator does not control or supervise Third Party Suppliers and is not responsible for their acts or omissions.
All services provided by Third Party Suppliers are subject to their own terms, conditions, limitations of liability, and applicable international conventions.
23. AGE LIMITATIONS & SPECIAL REQUIREMENTS
24. PRIVACY & DATA PROTECTION
To deliver Tour services, the Tour Operator collects, uses, and shares necessary personal information in accordance with Data Protection Law and GDPR requirements.
As a data processor, the Tour Operator will:
For full details, refer to the Tour Operator’s Privacy Policy.
25. COMPLAINT RESOLUTION & CUSTOMER CONDUCT
If a difficulty or complaint arises, it must be reported in writing to the Tour Operator’s representative onsite as soon as possible. Post-trip complaints must be submitted in writing within 7 days of return. Complaints received beyond this period will not be entertained.
For complaints about physical conditions (e.g., accommodation), photographic evidence must accompany your claim.
Publishing unresolved complaints online or offline before the Tour Operator has a chance to address them may be considered defamation and a violation of data protection laws.
26. MEDIA RELEASE & PROMOTIONAL MATERIALS
By participating in a Tour, you consent to the Tour Operator or fellow travellers capturing photos or video in which you may appear. You grant the Tour Operator a royalty-free, perpetual license to use such media for promotional purposes, in any format.
27. LEGAL GOVERNANCE & DISPUTE RESOLUTION
These Terms are governed by the laws of Malta, and disputes will be resolved exclusively in Maltese courts.
All disputes must be pursued on an individual basis. Class actions, consolidated claims, or private attorney general actions are not permitted. Arbitrators are not permitted to consolidate claims or preside over class-wide proceedings unless all parties agree.
28. CHANGES TO TERMS & CONDITIONS
The Tour Operator reserves the right to amend these Terms at any time. Changes become effective immediately upon publication.
You are deemed to have accepted any updated Terms unless you state otherwise within 5 days of publication. You are encouraged to review the Terms before each trip.
